1. Enhance Site Search to search through files

   Users assume search boxes operate much like major search engines (Google, Yahoo, Bing, etc). Major search engines index PDF files if they are generated with searchable text. The search facility in the Site Search gadget does not search PDF files. It would be much better if it did.

2. Inventory/Asset management

   Hi,

   My organization has a library that we allow members to check out from every month. With that said I was hoping for 2 things.

   1) an inventory database to keep track of our media (I can see this also being useful for other things such as equipment we own or donation items we get and then give)

   2) the capability to connect members to an item. this would allow us to track who checked something out and automatically send out reminder emails to members and what they have checked out (currently this is all done my hand each month and the library has a separate excel doc with emails and information which is already in WA)

   If these 2 things aren't possible I'm hoping for at least a connection to a MySQL database possible.

3. One Member Registers Multiple Members for an Event

   Hello,

   I mentioned this in the last survey I took and Dmitry suggested I post this here.

   We have encountered several instances where allowing a member to sign up other members for an event would be a big advantage.

   For example:

   Member Frank would like to make a reservation for dinner with member Mike. It would be faster and tidier if Frank can do this in one registration. This way, Mike and Frank both appear on the list of registrants and both will receive updates about the dinner event. At present both would have to register separately (this would cause some confusion as to who is sitting with whom), or as Frank plus 1, in which case Mike would not receive any notice about the event.

   To take this example further, we have many couples who are members. I have given both parties login credentials so that they can access the various sections of the site that are for the members only. Under the current system both parties would have to register for an event in order to appear on the registration list. Many, many times I have been asked to allow them to register both parties at one time.

   We also do team events of up to 8 members so this would be very helpful in that regards as well.

   Any change to the system that would allow this would not need too much in terms of error checking since every party that is registered would receive notice and any errors could be very simply corrected by the administrator.

   I'm not sure what type of control I would suggest for this, but a drop down box would work, although it would be tricky if you have a very long list of members.

   Maybe we can implement a screen where the member chooses the other members who are authorized to register them for events??? Just a thought.

   Anyway, i'd be very interested in everyone thoughts about this.

4. WA pricing different for contacts vs members

   Growing our membership is very difficult. I would like to import a larger list of contacts so they can get reminders about events, open house, and even newsletter all in the hopes of enticing them to spend money by going to events or even joining as paid members. However, the cost of bringing these people into WA as contacts makes it prohibitive and is much less expensive using mail chimp, constant contact etc. How about if pricing for WA is based on a combination of a lower pricing for non member contacts plus a higher price for actual members and/or contacts who have paid for events?

6. Allow Members to post comments pre/post events

   Current Behavior:

   Members can not post feedback about the event at any given point in time. Prior to the event members can see the event description, attendance list, event details (date time etc), but they are not allowed to provide any comments

   Proposed Enhancement:

   Have club members post comments about upcoming and past events? I would like them to be able to post comments even prior registering for the event. For a sample implementation of this feature - see groupspaces.com

   Motivation for the Enhancement::

   Our club is a very social organization and members often like to submit general comments for the events that we host at the club. This creates a centralized place for members to exchange ideas (outside of email threads etc) for the events that we host at the club.

7. Add ability to search by last email opened date and number of emails opened

   We need the ability to better manage our email contacts in order to (1) assess the effectiveness of our email blasts, and (2) better manage our software subscription cost. I put in a help ticket and was told there is no way to do this.

   (1) In order to create more active involvement in our organization I want to identify non-members who open most of our email blasts so that we can make effective appeals for becoming members or volunteers.

   (2) In order to better manage our software subscription cost, I am in the process of archiving non-member contacts who have not opened any of our organization’s emails in the past two years. To do this I created a “search” to identify non-members who have been email contacts for more than 2 years – in our organization there are more than 600 in this list. Then I must look at each one manually to see how long it’s been since an email was opened. This is horribly tedious and time consuming.

   My request is for Wild Apricot to add to the search criteria for creating reports:

   “last email open date” with selection options of “on or before” and “on or after”, and

   “number of emails opened” with selection options of “greater than” and “less than”.

8. Eliminate one source of human error in event registration

   When registering for an event, members sometimes conclude they’re done and fail to click the Confirm button. This has happened at least once with about 10% of our members. They think they’re registered and show up at the event, but we had no idea they were coming. Unfortunately the Confirm button is below the visible part of the screen, so you have to scroll to even know it’s there. Two changes: Move the Confirm button up so it’s staring the user right in the face AND alter the wording of the final screen to make sure the user knows it’s not final till he presses Confirm.

10. Show who created event, who last edited it, and when.

    In an organization with a lot of admins, it is helpful for admins to be able to see who posted and who changed an event listing. Please record this automatically and show it on the Event details view.

    For extra credit, provide a checkbox so the admin editing the event can make theirself the event organizer without having to go to the Emails view.

13. Improve QB and WA Integration

    Better Quickbooks integration. Or provide for $100 a service fee to set it up for your customers. I called many of your WA authorized partners, and none wanted to help with this. I'd be more than willing to pay $100 up to $150 for this help. Also, having 'items' in WA would help with the interface. Plus, the tax settings between QuickBooks and WA is not fully flushed out. We have to turn off Taxes is QB to allow the interface to work. Then have to remember to turn it back on.

14. Drip campaigns

    I'd like to set it up so that my members get content "dripped" to them week by week. Right now, I have 3 weeks worth of new material that all new members (including free 30-day trial members) access all at once.

    It would be great to pre-schedule and drip this content over time (daily, weekly, monthly).

15. Managing late event cancellation - payment forfeit

    Currently, when you cancel an attendee from an event where they have paid a registration fee, the system credits their account with the amount paid for that event, which is fair enough EXCEPT in some cases, when we have had to pre-purchase tickets and technically cannot refund the amount, but would still like to cancel the registration for recording purposes.

    It would be good if, when cancelling an event registration that is not free, we are given the option to credit the account or not. That way, if you want to make the funds available to use for another event you can (as is the default), but if you need to hang onto the funds for whatever reason, you also have that option.

    This could be part of the popup you get where you can add optional comments when cancelling an event registration.

    Is there a way to "accept comments" before they post directly to our blog? We want to let the public comment without having to be a member but at the same time want to ensure that none of the content being posted is inappropriate.

19. Emailing: Improve Adding Recipient Workflow

    We are "Husky" development team at Wild Apricot named, responsible for emailing area of the product.

    We’re putting finishing touches for our next release in Aug-Sep, which will include big improvements to our emailing workflow. These improvements are the first step to centralize emails management into one module and allow email scheduling and many other features in the future​.

    But we need your help to make sure we’re on the right track.

    There is one feature that we didn’t change but we would like to improve: “Adding Recipients”. Before we design improvements, we want to know a few things about how you currently send an email and any pain points that are specific to this particular step of choosing email recipients.

    If you’re willing to help us, please answer the following questions.

    1. What kind of newsletters/campaigns do you have?

    2. How often do you send emails via Wild Apricot?

    3. What is the starting point of creating a recipient list?

    4. What parts/modules of the system do you usually send emails from??

    Implement a capability to assign multiple email addresses as organizers to a particular event. Right now, you can only assign 1 organizer to a "particular" event.
