  1. Waitlist - Emails when Registered

    We use automatic waitlist rather than manual. When a spot opens up, the person on the waitlist is registered and they receive the standard registration email. We find that there is confusion with this as there isn't a message saying "good news, a spot opened and we've removed you from the waitlist and you are now registered".

    Augmenting the waitlist process to include a unique version of the registration email would eliminate the confusion and make sure that members understand they are officially registered.

  2. Scheduling reminder in hours, not days, before the event

    It would be very helpful if the reminder for the event could be scheduled in smaller increments than in days (for example an hour before the meeting).

    Discussion:
    1. The dialogue for scheduling actually allows this if one enters the decimal number. Unfortunately, the dialogue window then does not accept the data and refuses to "save".
    2. This feature (i.e. scheduling prior to the event in increments smaller than entire days) is of a particular value now, when the meetings are often virtual. This way, the latest update with the link would add comfort to participants as they would receive…

  3. Event registration field for Age

    We offer many programs for a variety of age ranges and have a field for parents to enter their child's age.
    We would like to make sure a 5 year old doesn't register for a program for 10 year olds.
    So this field would have a minimum/maximum criteria and if not within that range, an error message would pop up with a box "This event is for ages MIN to MAX"

  4. Change fee to donation when event is cancelled and member doesn't request a refund.

    We had to re-schedule an event and so some registrants could not attend. Several wanted to donate their fee rather than get a refund. There should be a way to do this. Cancelling a registration results in automatic voiding of the invoice and leaves a balance in the member's account with no way to re-direct the payment.

  5. Filter registrants based on registration type

    I'd like to be able to email everyone with a given registration type. Right now the "registrants" tab allows me to sort by registration type but not filter. There are several other filters though.

    Example: Registration type 1 is general attendee. Registration type 2 is VIP. I can easily email VIPs to let them know where to go at the event to take advantage of their VIP status.

    Current workaround: email all attendees and include info for each registration type (quick but inelegant) or export all attendees, filter in spreadsheet and then use another email system to send emails by…

  6. QR code

    It would be great f we could have attendees self check in at an event using a QR code. Ie we hold monthly club meetings and rather than an admin sitting at the door scanning individual QR codes on free tickets, if there was an event QR code printed and attendees scanned this to check in and the app then generates a list of attendees. Currently people register on the app and then manually fill in an attendance sheet of paper.

  7. duplicate event registration dates

    When duplicating an event, it's great the registration types and emails copy over, too. The emails adjust their dates accordingly (i.e. 7 days prior, etc.), but the ticket registration availability and closing dates do not (i.e. they stay the same, sometimes a year in advance!). Is there a way to have ticket registration dates also adjust to 7 days prior, or whatever the setting is?

  8. Events -add "saved contact search"

    Would like to add members to a group based on the results of a Contact search, such as creating a group of all members who signed up “Master Wine Tasting” Event.
    Contacts>Advance search>Registered for specific event(s) > select> “Master Wine Tasting”…a saved contact search is created (not a group).
    As each member registers for the event, the saved contact search is automatically updated.

    Saved searches are only good for emails and not events (membership level or member groups).

    Seems to be a disconnect between contact search and groups. At no point can you use one or the other.

  9. We need to be able to register and pay for all or some members at one time.

    Once all members have been validated as members allow the administrator to go back and make choices for different decisions required (i.e. dinner or lunch choice). Once that is proceed to payment.

  11. Automatically archive Primary Registrants from the Contacts list after an Event

    When an Event has taken place, there should be a system for Archiving any Contacts who were created from non-Members who signed up for public events. As I understand it, a Contact entry is automatically created, to enable the database to operate.

    I do not find it acceptable that there is no way to automate the Archiving of these contacts. I have been advised to do a manual process of searching for these Contacts, exporting them, manipulating the spreadsheet and re-importing the data.   12. Prevent event registrations from changing names automatically in database

    Prevent people from changing their name in event registrations that are then automatically changed in the database. Perhaps instead it prompts a check by the admin before the change is made in the database? Examples: Someone used their email address to register someone else, and typing in that person's name changed the name associated with the email address in the database. Also, someone typed in a general org name, thereby deleting their name from the database and inserting the general "My Company's Name" instead.   13. Customize calendar invites for events

    We run online seminars via Zoom. At the moment we include the Zoom details in the confirmation email, but attendees often lose them. It would be great to be able to also include the Zoom details in the calendar invite (.ics, Google Calendar, whatever) that is available for download on the registration confirmation page. At the moment, the only content in the calendar invite is a hyperlink to the event page on our website, and I cannot find any way to edit the content of the invite.

  14. Provide an event field called "Short Title", in addition to the Event Title field.

    In Events, provide an optional field, "Short Title", because some professional presenters use 20 word titles for their events but marketing sometimes needs a shorter title.

  15. Better handling of "complete registration" in waitlist.

    It would be nice if Wild Apricot would automatically generate an invoice and send a notification for waitlist registrations which are completed manually. There is a button "Send notification" just below "Complete registration" (not shown in the help topic https://gethelp.wildapricot.com/en/articles/3-event-waitlists#gettingoffwaitlist), but this is gone once one has clicked "Complete registration". I didn't find an option to generate an invoice, and had to do this manually, as well as manually triggering the notification mail.

  16. moderated or two step event registration

    We'd like to be able to create moderated or two step registration. So someone could register for an event, then a moderator can approve the registration, then the attendee can pay.
    Why? For example, if the event includes use of equipment (in our case kayaks), then the moderator can ensure that the equipment is available, ensure the user is approved for using that equipment and reserve the equipment. Then approve the registration so the attendee can pay.

  17. Being able to Edit Forms after Submitted

    It would be great for registrants to be able to edit forms after being submitted. Either to add in more information later or to update information. Currently, any edits must be done MANUALLY by the Event Coordinator, which can lead to big headache.

  18. Improved registrations for events - save event participant info in their profiles

    The events my organization runs collects a lot of varying information upon registration for each individual event beyond contact information. For example if it's a hiking event, and dependent on the type of hike, we need to know info such as about previous experience, events they attended with us in the past, any relevant medical details/medications, emergency contact info... it would be great if there was a place a member could save this info and then apply it (as required! since each individual event is different) at the time of registering for the event.   19. Cancellation emails need to send automatically

    The email settings under "Event Registration Canceled" says "Sent when registration is canceled by the registrant, by an admin, or automatically" but the email does not send to the registrant when their registration is cancelled by the admin. I find this misleading as it looks like an email should be sent as soon as it is cancelled regardless, not by having the admin need to click send a notification. Also there is no prompt indicating that the admin needs to do so when cancelling.

  20. Sessions not duplicate with Duplicate Event

    When I duplicate an multi-session event, all the session details are lost and I have to add them again form scratch. Can this be changed so that the sessions are duplicated along with the rest of the event?
