Event Manager without being Event Admin
Prevent Event Admins from editing member data - or allow some events to be configured by non-admin. We want to allow certain members (rotates - different person each year) to be the 'admin' of an event but not give them full access (editing member data, viewing member financial info unrelated to the event). Wish there were a way to allow them to edit and monitor event registrations without being an admin.

I've been working on this idea for a while, and most of you have described the same trap. You need a volunteer to run one or several events, and the only way to let them is to hand over your whole contact database and your finances. But there are different events and different needs. So I'd like to test the shape with you before we build it.
The idea is to maintain the current role of Event Manager, which currently grants access to all events. However, you can also limit this access and assign the person to specific events by choosing from one of three levels of access:
- Check-in assistant - welcome people at the door, handle walk-ins. Sees their assigned events and who's registered. Checks people in, signs up whoever turns up, takes payment at the door. Cannot edit the event or its registrations.
- Registration manager - help with accepting and managing registrations, including waitlist, before/during/post event. Has access above, plus edit and cancel registrations, run the waitlist, export their own list, and email their own registrants.
- Event lead - complete event management, including tickets, emails and event details, for assigned events. Can duplicate an event they run.
Imptortant note: At every level there is no access to full contact list and details (only registration information), member records, invoices or payments, no refunds, and no sight of any event they haven't been assigned to.
I'd like your reaction to some of that:
- Do these three levels match how your events are actually staffed, or is something sitting in the wrong one? Maybe overkill even.
- Assignment is per event. If you run 100 or more events a year, does that work? We will copy the assignment with event.
- A person gets one level across all their events, you will assign the new role same way as you do now. Does that break anyone who wears two hats — a committee chair at one event, a door volunteer at another?
- Any other concerns?
On the admin mobile app, you'll probably notice the quickest benefits. It already performs the essential functions of a check-in assistant — QR and manual check-in, managing registrations, guests, waitlists, and recording payments. Currently, door volunteers can't use it because it needs full event manager access. Once access can be limited, the app will be accessible to those requesting it for their assigned events.

I think assignment per event is overkill. Much like the website editors there could be a restricted event editor that has access to a subset of events. Allow the creation of a restricted event editor that has access to events. Not sure checkin assistant is that common.
One thing that should be still allowed is event editors that still have access to the database and financial records as now. Many times you still want that.

Great initiative Katya, In my perspective, we just need the ability to give to an individual access to everything dealing with events - EXCEPT money handling. They need to be able to add a registration, cancel a registratation, edit the wording, edit the emails, edit the registration form and tickets and check people in. If you can create categories for events, we do that with tags right now and have about 15 different types of events, and then assign rights to a person if they are responsible for a category, or assign rights to a particular event, it would be very helpful. Same thing on the website side. We need to be able to give content editors access to only certain pages on the website, not the whole website, so they can edit the things that we assign to them. Feel free to reach out if you want to discuss further. We have been using WA for over 2 years now, and even though there are some things that are clumsy it works great!!!!

This would work very well for us. I like the granularity of the rights being granted, and the hierarchy. We do NOT have individuals that need differing levels of access across different events. Typically, we have individuals that are responsible for a specific type of event and only that type of event. We run about a 100 unique events per year with about ten different types of events. The ability for Event Managers to retrieve and export the event registrations will save us quite a bit of time. Thanks for the update and look forward to seeing this functionality in a future release.

The "check in assistant" feature is most critical for our operation. We can live without the other parts although I recognize that they may be important for some other customers. I asked for this feature years ago!

We have a use case where it is necessary, for certain events and ticket types, for the list of registrants to be always visible to one or more people who are designated as event leaders. This is defeated by the option presented to members at registration time to remain anonymous.
There would be two ways of doing this:
1) For every event, the option to designate one or more members as "Event Leader", with the ability to view the registrant list regardless of a registrant's choice to remain anonymous. Currently WA provides no mechanism to designate an Event Leader.
2) Provide an option on an event's ticket type to prevent anonymous registration.
Option (1) would be more general and useful, but would probably require a lot more work as it's a significant database schema change. Option (2) seems it would be easier to accomplish.

It is incredibly helpful for event organizers to be able to manage their own events but not cool when they start trying to mess with someone else's events or add a new event and don't do it correctly. We import all of our events from a Google Sheet so they all conform to the same conventions and event organizers do not need to be able to add any events themselves.

Not sure if I'm wasting my time here, as clearly many things are being asked for and Personify are not delivering any new functionality in recent time, (Years) but here goes..
Please have the ability to assign basic Event check in functionality to a User. We dont need people to have FULL event management access, just the ability to check people into an event. Simple.
We have dozens of people who could use the QR code to check people in but can't allow this if they have FULL Event management access. -

Limit access of event managers to just the event tab. Event Managers have full access to financial, contacts, ond account information. As owner of the business the volunteer event managers have too much private financial information and total access to my contact lists I have spent years developing.

Our organization also has each event run by a different Chairperson. I can only give them view-only access, but that means if there is are mistakes in a registration, I have to fix every one myself and cannot delegate to the appropriate chair. Being able to control what kind of access a person gets for a specific event is extremely important!

Why are the Admin setting SO limiting. We have to grant full access to ALL of our managers/ leaders just so they can see their event, check attendees in and be able to email those who are registered. This has caused Huge problems. Need more levels of Admin access to limit, customize based on either events or tags or other!

This is a serious issue. I can't see any logic in enabling an event manager to "edit" Contact info. Surely this can be turned off without impacting functionality. I realise the option exists to import guest registrant info into Contacts but it should be up to an administrator or Membership Manager to edit and clean this stuff, not the event organiser. Event managers do need to be able to receipt invoices for cash or check payments so some access to invoices is necessary to perform the role.

This is very disappointing to discover after we purchased a license. We'll be meeting to discuss requesting a refund and looking elsewhere. I can't believe this has been around for 5 years and not addressed.

Admin roles like the event manager should be limited from accessing and making changes to invoices/payments and member profile data

This might be one of the most serious flaws in the Wild Apricot system and it seems that it has been around for a long time. The developers seem to not take this flaw seriously and as far as I can tell they have done nothing about it. This is strange since the solution of making a subset of the Events Admin designation with limited rights seems to be an easy fix. Does anyone know of a competitor MMS that does have this capability?

I agree with this need as all the members of a HOA should all be empowered to create events in their association. To limit it to just one person is illogical and to give everyone the much too powerful capabilities attached to the "Event Manager" designation is malpractice. As it is now the Events functionality of the website is unusable for my purpose. There have been a few work arounds published by frustrated users in the attempt to make this function work:
1. Embed a Google calendar in the website and lose the Wild Apricot gadget. Members can add events which can then be sent to the admin for a manual entry.
2. Subscribe to the Teamup shared calendar and embed it in the website. It also must inform the admin to do a manual event entry.
Of course at a certain point when you find that you have to replace Wild Apricots functionality with other apps to make the site work you will eventually come to the conclusion that replacing the whole website and moving to another host is the better solution. -

As a club, we have admins who set up events and manage WA. However, each event is run by an activity leader who is not necessarily an admin. We would like to enable the activity leader to be an "admin" to manage their event, but not have access to other events. In particular, the ability to see the registrations; manage the waitlist; send emails to registrants; use the admin app to record attendance / check in attendees, etc.

I agree with the comments I'm seeing. I've had to go to paper check-ins at the registration table because event admins have access to the full database of sensitive member information. Feel like I'm going backwards!!
