option to "not renew"
This might seem obvious, but is there a way for a member to choose to not renew their membership, archive themselves and thus stop the renewal reminder emails?
Each year about a third of our organization ages out but we don't know in advance who they are so we can't proactively archive them on the admin side. They get annoyed when the first renewal reminder emails start showing up, and their first reaction is to bombard the membership chairperson with requests to be removed from the email list. It's a pain.
It this isn't possible, do you have a suggested workaround that doesn't require the membership chair to do anything explicit?

As a workaround, we created the membership level "Resigned". "Active" members can switch to "Resigned" and vice versa. "Resigned" members are excluded from renewal reminders, and lose their membership when they fail to pay the following years dues. For a detailed description please see item 2 in the description in our FAQ for board members below:
1. Immediate resignation:
Simply suspend the membership. (See the Wild Apricot help article "Suspending memberships".) His profile information will no longer be accessible to other members. If the member asks to be removed from our database, see the Wild Apricot help article "Deleting and archiving contacts".
2. Resignation effective at the end of the current calendar year:
Members can change their own membership level to "Resigned".
If a member notifies the board of their resignation instead, the Membership Secretary should change the member's level to "Resigned":
In either case:
The member's status will remain "Active".
Until they have been removed from "Active" status, they will have the possibility of changing back to active membership.
They will not receive an invoice for the subsequent year. -

YES PLEASE!! Cancellations are too confusing to members who barely event take the time to explore their profiles.

Many members choose to resign their memberships at renewal time. Why not provide them with a "Cancel" button as well as a "Renew" button? To save backend administrative work, the "Cancel" button should both suspend the membership and void the renewal invoice,

Please make it possible for contacts and members to be able to delete their own record from our organization's database. The ability to delete one's own account is a basic expectation of privacy compliance. Our membership and contacts list deserve the ability to be able to delete their own profiles.

This should be carefully coded or configurable around the idea that the member should be able to self-archive ONLY if there is no OLD balance due. The NEW invoice amount associated with renewal should be voided before or during self-archiving.
Also the membership chair should be able to easily get self-archiving statistics, this or other way, like a new built in report complete with self-archiving date range.

We would not want to give our members the ability to simply cancel their membership without notifying the Admin. Our members have various responsibilities and commitments to our organisation, so removal of their membership needs to be managed by Admins. A simply "request to cancel membership" button would suffice - thus allowing the Admin to either "Approve" (which results in archiving the member) or "Action" (which allows the Admin to do whatever further actions are necessary before archiving them).

We are considering several options, archiving or deleting (it must be required, by GDPR law, for example). This could be configured by admin.
And it's a good idea and good practice to notify admin about such actions and even more - ask members why they are leaving and include this feedback into notifications.Katya

Hi Katya, this is about when members leave the association/clubs they want to cancel their membership.
Rather than 'deleting' their profile they could cancel their membership which would archive their record??
If this is the case, I guess we would need to have parameters for bundled memberships - i.e. only administrator?
Also, it would be great to see the admin receive a notification of this so they're aware.

I agree with this. Members should be allowed to cancel at any time without admins having to do extra work.

When our members want to cancel or leave membership, they can't do it themselves on their profile - they have to email us to do it for them?!
This is extra work for our admins, and cumbersome for our members. Please add this ability as an obvious button on the Membership tab.

This could be very useful - A "not renewing at this time" choice would be helpful and if it came with a customizable auto-generated email to the member "Thank you for letting us know you are now renewing your membership at this time., etc, etc, etc." type of option

Right now members will receive a number of annual renewal emails (as they should) until the system suspends or archives them. There is no way they can go to the site and cancel their membership instead. Internally that should trigger a number of options, most importantly suspend and or archived. It might be useful to have one more status: Resigned.

I put in the reminder e-mails statement if they do not want to renew to notify me and I will remove them (archive file). And if they change their mind to e-mail me by ??? and I will reactivate them. It would be much easier to have this option in the renewal e-mails - keeps me from having to do it but I would like an e-mail telling me that this occurred.

Members should have the option to discontinue their renewal or continue at renewal time. If discontinuing membership, should be a comment box asking why would they like to discontinue. So that administrators can get feedback.

I don't like this, if someone doesn't want to renew their membership they will unsubscribe to emails - which is available at the bottom of each email you send out.
