  1. Mark invoice as already emailed

    There is no way to figure out if invoice is already sent to or not. If there was an easy way to track if the invoice had been emailed, that would be incredibly helpful. Maybe the button just changes to “email again” after it’s been sent once?

  2. Full refunds for fully settled transactions

    Please improve the refund process.
    We take credit cards for attending our events. If a person later cancels and a refund is approved, it becomes quite confusing to record the transaction correctly. First, I find the item. Then I go to the 3rd party processor (not PayPal) and set up the refund to the credit card. Then I return to WA. I can locate the paid invoice, cancel settlement and refund the total amount. I do not see a button labeled Refund as described in the Help text, so I Save instead. Under Payments & Invoices, the original transaction shows…

  3. settle all invoices when recording a single payments

    Offer a "settle All" button.

    When someone pays for multiple items with a check, I have to settle each invoice separately. If they are paying for all events with that check, it would be nice to have a "Settle All" option to settle all items in the pop up box.

    Event and Membership Taxes - We need to be able to charge different taxes for events and memberships. In Canada, membership dues are taxed based on the province of residence. Taxes for event registrations are collected by the province in which the meeting is being held. But, for the province of Québec, the provincial tax is collected only for its residents. Meaning a non-resident of that province is taxed only the federal sales tax and not the provincial. Residents are taxed both taxes, the Federal and the Provincial taxes.   5. have a clear 1 page report that shows the name, event, amount paid, & address of the attendee.

    If I need to send a refund to someone (via a check), I have to print a page with their name, address, and amount they paid for our bookkeeper. The way the system is currently set up, I have to capture a screen shot to get all this information on 1 page to print.

  7. Create a process to write off bad debt

    There presently is no defined way to write off a bad debt. If someone owes money and is no longer a member they can be archived but their bad debt remains in accounts receivable. Our solution to keep A/R in check is to create a tender called Bad Debt and then apply that as a payment. Though that works it falsely inflates payments received reports which treats it like money that came in. Soooo, need something like a system created bad debt tender that by default does not show up financial reports as a payment but as what it really…

  8. Option to Remove "(USD)" Next to All Dollar Amounts, etc.

    Greatly respecting our Canadian friends (and owners), nevertheless -

    We are a local club in the U.S. It's unnecessary clutter for us to show (USD) next to every dollar amount.

    Is the currency abbreviation shown for all other currencies? Surely it's unnecessary clutter to show (EUR) when € is displayed, or (GBP) in addition to £.

    Could we please have a checkbox to remove the three letter designation?

  10. Allow admin to record membership recurring payment starting from next renewal period

    This may be specific to auth.net which we use. If one wishes to start recurring payments the apricot/auth.net process requires the initial payment to be made at the time the recurring payments are launched. We have run across multiple instances where we wish to start recurring payments at some point in the future but not credit the member's cards now. For instance we just had a case where someone had recently paid to join via check but for future payments wished to pay by credit card; Our alternatives are for the member or ourselves to remember to set up recurring…

    I am not thrilled with the way invoicing and financial transactions, including multiple payments and refunds, show under a member's record. It can be a little disjointed. It would be better if it was listed more like it would look in an accounting software as a full transaction list. For Example:

    10/27/14 - Invoice - Membership Renewal - Silver Level - $200
    10/28/14 - Payment - Membership Renewal - Silver Level - $200
    10/28/14 - Invoice - Newsletter - Monthly Newsletter - $100
    10/29/14 - Refund - Membership Renewal - Silver Level - $50

  12. Numbers payments receipts

    Good day,

    Is there a way for manual payments (offline) to have the consecutive number added to the email receipts?

    This is the only thing holding up our organization from using wild apricot 100% for all our billing.

    Our finance people require this or they can't accept it.. Invoicing does it already, it should be too hard to make it happen with payments.

  14. When paying invoice in full, copy internal notes to payment record

    Our membership coordinator enters many renewals manually. She selects the renew button enters an internal note on the invoice, selects the tender and clicks on "Payment Made In Full". When trying to reconcile the payments she wants to export the payments & refunds record and see those notes. We would like to see the invoice internal notes transferred to the payment internal notes if the "Payment Made in Full" button is activated for manual renewals, otherwise it takes extra steps to put the notes in the payment internal notes field.

  16. Financial reports in landscape format

    You offer a very attractive format for your financial reports, i.e. income and aged receivable reports specifically. You currently offer to download these reports in either excel or pdf. format but only in a portrait view. To produce a report covering several months requires the download to be printed on several pages.

    It would be very helpful as webmaster to download these pdf. reports in a landscape format so I could share with my board.

    Downloading in excel provides the material in a landscape format but you lose all the attractive formatting that appears on the screen.

  18. Chart of Accounts export to QuickBooks

    An additional level of detail beyond “class” or replacing "class" that could associate with the Chart of account codes set up in quickbooks would save time and errors by identifying income categories automatically. I assign a general ledger account code to each invoice/payment to coordinate with the bookkeeper in the notes field that must be read manually. Could a separate field be available that QB would recognize on import.

  19. Accounts Receivable Report for selected period

    The AR report only provides the current picture. If I do not remember to run it on the last day of the month it must be contrived by deleting any income and invoices. Enabling this to run for a selected period just like all the other reports would provide for correlation/proofing with our books and allow for historical comparisons that tell us if our collections are improving/lagging/meeting our goals.

  20. Filter income report by member/contact record attributes

    One of our clients has a setup where each member is coded with a branch (a custom field).

    What they are looking to do is to report on the total of subscriptions (membership income) and donations that can be attributed to a particular branch. (Branches have their annual targets and this report would help tracking the progress toward target).

    A possible solution to this is to add the ability to filter the transactions included into the income report by contact/member record attributes.
