  1. Create a process to write off bad debt

    There presently is no defined way to write off a bad debt. If someone owes money and is no longer a member they can be archived but their bad debt remains in accounts receivable. Our solution to keep A/R in check is to create a tender called Bad Debt and then apply that as a payment. Though that works it falsely inflates payments received reports which treats it like money that came in.   2. have a clear 1 page report that shows the name, event, amount paid, & address of the attendee.

    If I need to send a refund to someone (via a check), I have to print a page with their name, address, and amount they paid for our bookkeeper. The way the system is currently set up, I have to capture a screen shot to get all this information on 1 page to print.

  3. Block/make private financial details from some administrators

    While we give some members administrative rights, it would be good to have the option of blocking financial data from administartors

  4. Invoice line-item export

    I'm working on a financial report for my organization, and I'm trying to find the line-item detail for all financial transactions conducted through our site (so I can slice and dice the data to illustrate various aspects). Without this, it's not possible to resolve discrepancies in the data and close out our organization's finances.

    I was able to download a report from "Payments and Refunds", however this only shows totals for each invoice and does not show what line items each person is paying for, so I can't break the data down fully. I also found the "Income" report under…

  5. Bulk invoice print/email

    Would really like the ability to email and/or print all invoices returned by a filter. It's a lot of unnecessary work to have to open each invoice to send it.

    We have members in different countries (US, Canada, Europe, and beyond);

  7. Integration with QuickBooks Online

    1) Integration with QuickBooks. Need to be able to download monthly in a way that recognizes existing customers and allows me to code transactions in WA according to my QB Chart of Accounts.

    For financial data from Wild Apricot to be useful to Parent Booster USA, I have to be able to download an arbitrary number of transactions, e.g., all transactiuons in a month, for all members, them load those transactions into QuickBooks so that the download adds new transactions to the exisitng customer accounts.   8. Financial reports in landscape format

    You offer a very attractive format for your financial reports, i.e. income and aged receivable reports specifically. You currently offer to download these reports in either excel or pdf. format but only in a portrait view. To produce a report covering several months requires the download to be printed on several pages.

    It would be very helpful as webmaster to download these pdf. reports in a landscape format so I could share with my board.

    Downloading in excel provides the material in a landscape format but you lose all the attractive formatting that appears on the screen.

  9. Chart of Accounts export to QuickBooks

    An additional level of detail beyond “class” or replacing "class" that could associate with the Chart of account codes set up in quickbooks would save time and errors by identifying income categories automatically. I assign a general ledger account code to each invoice/payment to coordinate with the bookkeeper in the notes field that must be read manually. Could a separate field be available that QB would recognize on import.

  10. Bulk create invoice/send invoice reminders

    Hello,

    I'd like to be able to bulk send invoices to a set of users, Perhaps even do this on a regularly scheduled basis if the member has an outstanding balance. Sending these individually is a huge time sink for me.

    I'd appreciate any guidance on how to do this.

  12. Importing payments from QuickBooks online

    An extremely useful feature would be the ability to export payment data from QuickBooks (including the online version) into WA. Many of our corporate members pay by check, and currently we have to manually update WA to reflect those payments. That shouldn't be necessary.

  13. Access to income report detail/Drill down reports

    When I create a monthly income report, I get aggregate figures for events and membership types. I would like to be able to create a monthly report, and then be able to see all the transactions that went into that report. I don't find a way to do that. I CAN get a list of transactions for a certain time period, but that screen is limited to 50 per page. A very annoying limitation. I would like to see them all, and have them in a searchable file, which I could also download.

  14. Tax (HST) on Extra Charges as an Option

    We have a situation where we need to charge HST on our club membership fee but not on a required pass through fee from an umbrella organization. It is a required fee for members. Currently it is implemented as an extra charge but there is no control over its tax status ie applying a tax. In this case there is no HST applied to the $35.00 fee but there is for our club membership fee.

    Can you suggest a work around?

    It would be great to have the extra charges fields have an option to apply taxes or not.

  15. Volunteer credits

    I know that allowing redeemable discount coupons is on the wish list, but what about also acommodating volunteer credits (e.g. points or credits earned for volunteering) that could be used according to criteria established by the organization e.g. 20% off a membership renewal?

  16. Payment due date for manual invoices

    I would really like to be able to add a "payment due" date in a specific field when raising a manual invoice.

    When creating an invoice, this would appear as a date field to complete. It could then be inserted into the invoice template using a macro. For convenience it could deafult to invoice date +30 days (for example). Although some companies might have standard payment terms (eg pay within 30 days of invoice date), we need to be able to give a specific due date for every invoice issued.

  17. Income Forecast Report

    I just started using Wild Apricot and was looking for an Income Forecast report that will look at upcoming renewals and will report on this.

    This will allow for better budgeting.

    Maybe even a yearly graph so we can see which months we will not see much income from renewals.
    This would allow us to focus our efforts on this month to help smooth out cashflow over the entire year.

    I hope this makes it into the next release as it seems like a simple report, all the information is already in the system.

    I search the forum, but I can't find anything regarding my situation...so I am posting it here. If there is a similar post and you can point me towards it, I would be greatful.

    I guess my first question would be - can we create more than one invoice template? I have a template set up for new members and existing members who renew. This all works fine as I have the {Payment_Instructions} set up so that they make sense for these types of invoices.     We are getting requests from event attendees for a pdf or a hardcopy of the invoice as organisations won't accept an email as an official invoice

  20. Financial Reporting: Break out extra charges

    Anytime Memberships are reported out, maybe not at the high summary level, but at the indivdual membership level I would like to see a breakdown of membership fee vs. extra item fee (e.g. In July I had $500 of membership income, how much was from elite level, how much from regular level, and for each, what percentage is membership fee and what percentage is extra items).
