Scheduled E-mail Blasts
Current features:
Emails need to be sent manually or scheduled with events reminders or membership renewal notifications.
Desired feature:
Have the ability to schedule any email to be sent a specific time.
Hello, dear supporters!
We’re happy to announce that the scheduling feature is now ready for your use!
In this thread there are several suggestions related to this feature. Some of them are covered in this release, some are not. Let’s jump into it.
What is covered:
- Set up an email in advance to go to X list (or single member) on X date at X time
What is partially covered:
- Scheduling a blast after an event has occurred
Simply schedule a manual email blast to the saved list of an event’s attendees after the day of the meeting
- See the schedule of outgoing emails
Emails tab (former Drafts) now has a new filter. If you sort the list to view scheduled emails only, then you’ll see them arranged by the delivery date&time. Thus you can check the order of scheduled emails
What is not yet covered:
- Auto Repeating emails
- Timezone selection (there is a workaround though – check the video below)
What is related to events:
(Some of the suggestions are actually about events announcements and that is a whole another story. No worries, we have them saved)
- schedule more eblasts per event. Three is often not enough
- if an event is duplicated – duplicate the group (of recipients) also
- schedule a blast after an event has occurred (ex. feedback collection)
- SEE the schedule of all the announcements
- send to a segments of a list (e.g, members vs. non-members, vs former members), either to vary the message, or for segmented tracking, or both
- Choose time of the day
- Button Send now should cancel Scheduled message delivery + add a confirmation dialogue

We currently use Constant Contact for our email newsletters etc. but would hope to be able to abandon that when the WA email blast mechanism/editor has improved.
Being able to schedule emails would be a necessity for us.

I would appreciate comments from other users who frequently need to schedule email delivery date.
One thing to keep in mind: the exact date/time of email can not be guaranteed - the start time of mailing can be scheduled but how long it takes to actually send the email to every recipient would depend on many factors, mainly current emailing queue size/load.

For planning and administration purposes it would be very helpful if we could schedule email blasts and deliveries ahead of time. Work can be done to prepare th emails, review with others etc. and then schedule the delivery for a specified time.
In the same vein, an automated newsletter function would also be helpful - weekly, daily, monthly etc. distribution of an email with specified informaiton - latest blog updates since the last message, events calendar updates, etc.
I have tried using the widget function, pasted into a WA email, to provide the content part of this, but it doesn't seem to work well.
I suggest you look at the RSS email functions in mailchimp as a guide.

Actually ability to schedule emails in advance (vs. just automaticly recurring emails) sounds like a better idea so I will adjust post title.

I can see how others would have a similar use to be able to send an email to members and defer it to go out at a certain time/date.

For example, we have a spa drawing and a gift card drawing each month. One held on the 1st of the month and one on the 15th. It's very popular and we send out reminders every month to enter the drawings a couple of days before the deadlines.
We've added an opt-in section for the drawings in the member profile to track who to send the email reminders to. Then we run a saved search on who has the opt-in box checked and manually send the emails out twice a month.
I've copied a typical reminder email below.

Can you please elaborate a bit more - what kind of emails are these, how people sign up for them etc.

Having the ability to have recurring emails (monthly reminders and such) go out on the same dates each month automatically to certain groups (I currently use saved searches for current subscription types) would be so great. For example, we send drawing email reminders twice monthly. Its the same email every time but the subscribers may change (we currently put our own opt-in section for these in their profile since the subscription section doesn't allow for any additions, specifications, or editing).
