Bulk import of attendees
We sometime invoice institutions for a group of attendees. It would be great to have an excel file that can be imported per event to populate the list of attendees.
Hello everyone!
Seeing your activity on this thread we would like to present you with three new templates using the third-party app called “Integromat”. They could help you to:
- Copy an event with registrants
- Export registrations into a Google sheet
- Import registrations from a Google sheet
These need a short one-time setup and then you’ll be able to do the actions above in just a few clicks!
For more info see our blog: https://www.wildapricot.com/blogs/newsblog/2019/04/30/event-registration-integromat
We absolutely understand this is not a solution but more of a workaround for this request, so we won’t close this thread. But feel free to share your thoughts about these templates as well!
Please note, these workflows have some limitations and might not suit everybody. But we hope they will make your life a bit easier.

It would be great to be able to import an attendee list for an event that happened outside of Wild Apricot (like a virtual event hosted through Zoom) so that the member's record would show they attended. Currently, you have to create a dummy event then manually add each person, one at a time. WAY too time consuming...

We run regular meetings for the same group of members. They don't want to have to register each time, and I don't have the time to keep recreating the register list one by one.. A simple way to create an event and then import a group of members, perhaps by Groups or just copied from a previous event would be great and save a huge amount of time. They all get the reminder emails and we just sign them in as they arrive. Please add this to the roadmap, there is clearly demand. Thanks

Is there a plan for bulk uploads for event registrations outside of Integromat? The process with them is REALLY hard and I spent over 2 hours trying to get the mapping to work - and it never did. Support is also not available unless you have a paid plan.

Yes! It would be most helpful for a variety of situations.

Yes, please!
We would like to be able to merge our excel data on event attendance with the existing events that we have recorded online.
We have several events and programs each month (around 15-20). Our organization utilizes the event/public events calendar feature to record attendees, and offers online registration through the event as well.
We also offer the option, however, to reply via email or phone directly to the event organizer/chair, who keeps a full list of registrants for her event (our membership is not always comfortable logging in to register themselves for said events). We then receive the full attendance for the event from the event organizer/chair (usually in excel format).
Ideally, after each event, we would be able to import this "final" list of attendees into the existing event using an excel or csv upload, rather than adding each registrant individually and also "checking them in" (given the volume of data that we have).
Currently, we have a backlog of this attendance data in excel, and we would like to utilize for a comprehensive view of our members' activity (of which event/program attendance is arguably the most important component), hence the desire to streamline the process!
Thank you!

With a membership base of 300+ this is a desperately needed feature! Please make this happen :)

I would like the ability to import a list of guest registrants and have them added to an event.
We have big events and we get an Excel document from other clubs - it would be nice to have a way to import those guests rather than entering them one-by-one.

This functionality would be very useful for new events, and to preserve the status of an existing event where you want a populated duplicate, instead of just the empty meta-data for an event which is what you get now with the "Duplicate" button. The template for the import structure of an event, could be exactly the structure of an export file from the same or a duplicated event.

I have been doing reservations for our group for 5 years. In prior years, clicking on BACK from the completed invoice would back up to the event so another registrant could be added. (I’m going back to when the tab was ‘add attendees’ instead of ‘add registrant’.) Now, the BACK will only alternate between the invoice details and the registration for the person. It no longer goes back to the event to be able to add another registrant. Now I have to click on event list and start over again. This takes much more time. Is there a setting that I can change. Maybe you think people only enter 1 registrant each time, but I usually enter 15 or 20 at once so staying within the event was much easier.

Ability to bulk upload event registrants.

Yes, please! Many of my bulk import attendees are already members and on WA, but bulk import would allow me to update fields for all my event participants based on their participation.

We do not allow members to register for events. Is there any way to import a group of contacts/members into an event?

I'd like to be able to import registrants from other systems such as Eventbrite or Facebook into Wild Apricot after the fact. Sometimes I am also just given a list of names and emails from corporate sponsors and would like to add them in bulk.

Our monthly general meeting do not require registration - those who show up, show up.
We have a sign-in sheet. We would like to then register these members after the fact so that we have a permanent online record of who attended the event. We can also use this for checking which members are most active.
The current system only allows one member to be selected from the list. It would be helpful if we could hold the control key & select multiple members to add at once. -

DEFINITELY! There are times that we need to use outside registration system and want to track those who attended the event. The registration here is great for smaller less complicated events - but sometimes additional flexibility or functionality is needed.

YESSSS!!!! Our organization has regular monthly membership meetings. We don't want to require every member to have to register every month. We would like for the list of members to be imported for each member, and then we just mark who attended at each meeting.

This would save me an awful lot of time and reduce the risk of typos.
