  1. Invoices that all group members can see and pay

    it would be helpful for our larger group memberships to all have access to invoices. not just the individual members. That way anyone with a company card could pay the invoice.

  2. External Edit of Document Templates

    It would be nice if I could create/edit forms (Invoice, Receipt, etc.) in MS Word or some other external tool and import the forms into WildApricot.

  3. fee payment frequency

    allow fee payment frequency to also occur weekly bi-weekly as well as the current monthly. This suits our customers who have members who have a cash receipt cycle relevant to those periods

  4. More flexibility in specifying tax treatments of items is needed

    On membership invoices, some extra charges are taxable and others not. E.g. dues and initiation fees are taxed while stock fees are not.
    Also some events are taxable and other events are not.
    While I can specify prices to be inclusive of tax and not apply taxes to entire invoices, this make accounting much more difficult.

  7. Income breakdown members / non-members p.a.

    Is there a way to extract income from members and non-members from all events p.a.? I can only see how to do this per event, not all. I would like to see how much income we received from our members and from non-members to include this figure in our Annual Report.

  8. Financial Reset to Zero Option

    Our payments for invoices and event fees are paid by either cheque in the mail, cash at the events, or sometimes by Visa on line.

    As our organization is volunteer, the recording of all payments is kept in an excel file, as it has been to laboursome for our volunteer administrators to spend the time to update all that info into the Wildapricot system.

    Ya.. I know.... But we are trying to get better at that.

    Our memberships go from Feb to Feb with a reset on annual membership.

    Because of this, it does not matter to us what happened…

  9. have some sort of flag that could be used for invoices, ie a check box or color

    If we could have a color to show the difference between paid invoices, processed invoices ie invoices that we have actioned or transferred to our accounting package. At the moment we transfer Paid invoices from WA to the accounting package and have no idea when looking in WA which ones have been done and which haven't. Another package we used to use had color coding which was very helpful.

  10. Bulk clearing of invoices

    An event with 150 attendees might, in our case, result in 50 payments in advance by credit card and 100 payments on event day by check or cash. Marking an invoice paid requires three screens, three clicks, so that means 300 screens to clear all the invoices from a single event (we have at least one event per month).

    You give us an export function to export invoices; what would be handy is a similar import function so we could edit the XLS file and then import it back to clear the invoices.

  11. Share Account Billing Receipt upon payment

    Please automatically and immediately share account billing receipts upon submission of account payments. Right now, we have to reach out to customer support to request a receipt. I'm based in the USA and this is the only company I know of that does not immediately share a payment receipt once they receive payment.

  12. Remove the "Extras" word from the invoice form and the receipt form

    Sometimes members asked me why they are charged "Extras" as indicated from the invoice form and the receipt form. After I explained, they realized it was correct but told me when they see the "Extras" word, they were thrown off with “Extras”. Extras is for Affiliate Chapter Charge under Membership fields. It would be nice if I can remove the “Extras” word and be able to revise these forms. I am told I can’t. I would hope you would consider.

    Also, it would be very nice if we can save our own different invoice templates.

  13. Prompt Admin When Invoice Already Exists and Membership Level Changes

    We had a member with a membership level of Individual Membership who requested to change her membership level to Tiered Members for 3 Members. We changed her membership level. Then added the other two members to that bundle. When we did that, the big yellow pending renewal box with the invoice link disappeared from the the two members added to the bundle. Although the membership tab still showed open invoices for those two members, it wasn't nearly as obvious to the admin user.   15. decimal seperator

    The decimal seperator for all prices is marked by ",". Therefore, when sending out an invoice of 25000, the value on the invoice reads "25,000".

    We are a danish organization, and in Denmark, the decimal seperator is "." and therefore when we send and invoice of 25,000 DKK it actually states that the owed amount is only 25 DKK.

    Is it possible to have an option where the decimal seperator will be a decimal point instead of a decimal comma?

  16. I was very impressed by Wild Apricot but I was looking for a comprehensive platform also offering some basic financial management

    I need a software importing also past transaction related to donors by their unique ID, register contacts without emails, assigned resources to projects and subprojects, manage different bank accounts. In any case your personnel has been very clear and quickly responsive.

  18. organize a client payment system that alerts each organizer of their event when a payment is made for that event..

    We need a system where our VP of social will get a report when someone pays for a social event, our week trip person gets notice of when a member pays for a week trip event, and our weekend trip person knows when someone signs up for the weekend trip and pays. The current system only allows one address or a group of addresses to be notified of all payments no matter what it's for.

  20. post dated cheques

    Ability to record post dated cheques as currently I can't show them as payments given the money isn't yet deposited, and if they aren't shown as a future payment, the profile to the user looks like they have not yet paid. From a membership perspective it also shows the same as if no payment was made. An indicator for post-dated cheques would be helpful.
