Integration with QuickBooks Online
1) Integration with QuickBooks. Need to be able to download monthly in a way that recognizes existing customers and allows me to code transactions in WA according to my QB Chart of Accounts.
For financial data from Wild Apricot to be useful to Parent Booster USA, I have to be able to download an arbitrary number of transactions, e.g., all transactiuons in a month, for all members, them load those transactions into QuickBooks so that the download adds new transactions to the exisitng customer accounts. Downloads that create new customers each month aren't helpful. Beyond that, I'd like to be able to code financial transactions in Wild Apricot so that they match the accounting codes in QB, e.g., new member, basic level is transaction code 6101.
As it currently operates, the financial subsystem gives PBUSA's members something to complain about and the administrators unneeded manual tasks.

We have released dedicated QuickBooks Online invoice export that will allow you to keep your accounting up-to-date.

Hi,
I just wanted to chime in to say that my organization is very interested in more robust integration between Wild Apricot and Quickbooks Online. I read the help information about importing IFF files into the online version of Quickbooks and I was surprised to see how expensive the 3rd party tools would cost just to accomplish the import.
Very disappointing. My organization does not have the budget for the additional expense.

I understand you are limited by what's provided by Quickbooks. But has there been any progress attempted or made regarding exporting Wild Apricot data into Quickbooks Online? As a very small organization without an office, it doesn't make sense to buy a hard copy of Quickbooks when we need to share data in the cloud (which is one of the reasons, of course, why we went with Wild Apricot). Most of our members pay online for events and membership, and I end up doing old-fashioned data entry to get these transactions into Quickbooks online. Any advice would be welcomed!

John, our integration is limited to what's provided by QuickBooks. Our research indicated that with all the different versions of Quickbooks our safest bet is using old-school file import (IIF formatted file). Unfortunately it has many limitation, e.g. this inability to link payments to invoices. I think we have reached the limit of what is possible with the IIF - so further improvements would have to be developed with a different integration mechanism, which would take us a while to research and then develop.

Actually, I don't find it to be particularly clear. But I think the bottom line for Parent Booster USA is that we're a small organization that can't conceivably afford the overhead investment required to set up QuciBooks and Wild Apricot so that they can exchange data. Particularly since that data is going to require significant manual manipulation ("Imported IIF files do not create links between transactions. ...To reconcile this in QuickBooks after importing the data, you would have to manually open each payment in the Receive Payments window and apply it to the invoice.") once it's imported.
Wild Apricot is great for us because it makes managing our Web content and membership easier. Unfortunately the financial subsystem doesn't seem to offer the same opportunity.

Take a look at http://help.wildapricot.com/display/DOC/QuickBooks+Export+Settings it explains how you need setup your customer name fields to prevent new customers from being created.
