Integration with QuickBooks Online
1) Integration with QuickBooks. Need to be able to download monthly in a way that recognizes existing customers and allows me to code transactions in WA according to my QB Chart of Accounts.
For financial data from Wild Apricot to be useful to Parent Booster USA, I have to be able to download an arbitrary number of transactions, e.g., all transactiuons in a month, for all members, them load those transactions into QuickBooks so that the download adds new transactions to the exisitng customer accounts. Downloads that create new customers each month aren't helpful. Beyond that, I'd like to be able to code financial transactions in Wild Apricot so that they match the accounting codes in QB, e.g., new member, basic level is transaction code 6101.
As it currently operates, the financial subsystem gives PBUSA's members something to complain about and the administrators unneeded manual tasks.
Thanks, John
Good news out there!
We have released dedicated QuickBooks Online invoice export that will allow you to keep your accounting up-to-date.
I’m closing this particular idea. If you need more feature-rich integration – feel free to launch another thread and elaborate your scenarios.

Hi there, we are considering WA but the ability to sync with QBO online is a must. What's the latest on this? We would need to be able to import transactions that would allocate transactions to existing customers in QBO.

This is really important. The beauty of WA is that so many functions are integrated - but this one isn't. QB Online is one of the most widely used accounting tools. Currently I can't integrate my billing with WA. WA advertises that it supports QB, but it is not QB Online. Please add this function asap!

Yes, sure. Just use export function on Invoices or Payments lists. You can export both to Excel/CSV

Definitely need QBO integration. QBO can accept data imports in Excel/CSV formats. Can that be a WA export option in addition to iif?

Integration with QuickBooks Online is critical. We can not consider WA without it.

Seems that this is a critical path item. Wa will help us a lot, but I will keep looking for a comparable alternative that integrates with QBO. Without this, I’m not a loyal customer let alone an Evagelist.

Import into the Quickbooks ONLINE version. We have a virtual office, which is great for using WA, but we also use the Online version of Quickbooks, having to manually update Quickbooks because WA does not export to the online version is cumbersome and a lengthy process

I know Wild apricot does not support Quickbooks online. However, Quickbooks is encouraging all users to go online and I would like to know when WA plans on integrating with that software??

Really need this integration as we have to re-enter sales receipts into QBO so double work which is not a great workflow.

@Lynn,
The only option I can suggest is trying out updated invoice exports. No news other than this

I'm sorry to hear you are not priotizing this. I might cancel my subscription. It's critical. How can I deliver to my accountant?

This is huge problem for us. We are evaluating other systems that can integrate with QB Online. I love Wild Apricot, but my accountant is pushing us to get all our invoicing in one system.

Thanks for posting, Scott.
I completely understand your frustration, this is one of the hottest topics for our crew.
But this year we are focusing on some other things (major one is Online Store), so no progress here. We'll keep posted as soon as we have any progress here.Oleg, Product designer @ Payments team

Absolutely, Quickbooks online integration is needed. Intuit themselves is guiding people that way, so I think Wild Apricot should prioritize this...

As an accountant, working with QBO clients exclusively, this feature needs to be considered asap. In the meantime, I will be researching other options. At a minimum, items need to be added that can flow over to Paypal and we can export from paypal.

I did not realize that the Quickbooks integration did not include Quickbooks online. I would have to pay a large fee to get a third party app to integrate the .iif files into Quickbooks online. We cannot afford this extra cost. This needs to be clarified, first of all, to alert anyone who may be considering WA or Quickbooks online, and the next step would be to fix this so it integrates, please.

I too would like to get info into Quickbooks Online. The whole thing is a bit of a mess.
First, I can't export data directly to QBO. The QB Export format doesn't really work with QBO (no fault of WA, but... needs to be solved somehow).
Second, I need better invoice detail from WA - when I have a membership invoice, I need to get different account categorization on the extra member items that they can subscribe to over and above the base membership level.
Third, even if I get Invoice and Payment info imported from WA, I get the Paypal payment transaction data via the QBO Paypal app, but they don't automatically (or even manually) hook up to the invoice/payments because Paypal imports them as a "Sales Receipt". I don't think this is a WA software bug or limitation per se, but the point remains that it'd sure be nice to find some kind way to import all this stuff into QBOnline fairly automatically. It's currently a mess.

One of the reasons I purchased WA was because of the QB integration, but did not realize it did not include the online version! How can this be?

Create a "Export to QuickBooks Online" function so I don't need a 3rd party application to convert the exported invoice and payment information I get from Wild Apricot into a format that QuickBooks Online will understand.
