Event-specific administrators [10260]
Current behavior:
Copies of event registration notices are currently sent to the same general contact email as all other administrator notices
Desired behavior:
Ability to specify which administrator(s) should receive copies of even registration notices
Ideally, allow setting this up separately for each event

We are also a volunteer-run hiking club with 800 members, about 50 active trip leaders and about 50 trips per month, that's about 400 registrations a month. Finances are purely annual subscriptions, hikes are free to members. That's a lot of emails for too few volunteers so we would strongly endorse Greg and support registration emails going to trip leaders. For the same reason we would also need the trip leaders to add their own events and be able to edit only their own events.

Very useful - almost essential for our association, with its six special-interest groups, each of which hosts an annual conference. Must manually forward these notices now - frustrating.

This would greatly help us spread the workload off the key site administrators and bring the event organizers into the workflow. HIGHLY desirable.

I would like the routing of system emails for events to have different email recipients for different events. For example, my organization has several events throughout the year, but a different person organizes each event. Right now the system is setup so that all event-related system emails goes to the same recipient regardless of the event.

Our club, a hiking and trail maintenance club, holds various events throughout the month. But all of our outings have an associated "trip leader" who is responsible for planning and coordinating the trip. So when we add an Event to Wild Apricot we would like to have a designated field, similar to event title, where we can put the trip leaders name. From this name we would like to extrapolate the leader's phone number and email address using macro settings. We want these maros to be available on the announcement and reminder emails so that the trip leader could be contacted if additional information is needed. At this time we are putting the trip leader and contact information in the Event Extra Info field and including it in the registration email. That works for the registration email. But for someone just browsing the event listing, the Event Extra Info field is not displayed. If we want potential participants to know who the trip leader is we would have to put that info in two places: the event description and the Event Extra Info fields. If however, the new designated field is added we just have to add the trip leader info once.
The other problem is how the system e-mails are routed. The event related system emails can be sent to the standard administrative types; membership, event manages, etc. and to cusom recipients e-mails. But what we really need is for the "trip leader" to be sent an e-mail so they know who is registering for their event. I don't see how the "trip leader" can get this information unless he logs in and looks at who registered for the event. This means the registrant would have check the box so their name would show up. The other way would be for the event manager to forward their e-mails to the "trip leader". I don't think either way is satisfactory. But if we have a new "trip lead email" system macro then we can just put that is the custom recipient field and everything would work fine.

Our club has many Separate types of disciplines. From Trials, Super Moto, to Harescrambles, & Ice Racing. Along with many Volunteer Days.
It would help me out emmmensley if there were a way to add a user as an admin for any one event instead of just the entire event system (like facebook has for their events)
We have a trail cutting day coming up & I would love to add the key organizer of the day as an admin for his event we created so they can see lists, get on the email contact system for said event & edit his event page if needed.
This would also help us get Individuals involved to add their events to our website & maintain them on our website instead of using forums for info etc.

Our team has come up with a description of the feature. We'd love to get your feedback on it:
Problem:
* Copies of event registration notices are currently sent to the same general contact email as all other administrator notices
* Some clients don't like this behaviour because they have no chance to change the email recipient for an event. They may have a particular person in mind to run the event who should be getting the administrative emails.Solution:
* Each event will have an option to select specific person (so named Event responsible person) which receives event registration notices (This will over-ride the setting specified in Settings-> Routing of system e-mails
* Admin will have ability to customize or use te default settings
* There will be a checkbox which will allow them select who should receive the email* Selecting the recipient will be done via a pop-up dialog
Emails:
* The following emails will use Reply-to email and Reply-to name from person selected to be responsible for the event
* Registration confirmation
* Reminders and notice
* Manually send emails (only by default, can be changed) -

This really needs to be updated to include a particular email address (or "event manager") for each event.
My guess is that few, if any organizations of any significant size, have one single person that manages *every* event.
We currently have in place a series of bizarre and convoluted email filters/forwarders that attempt to route event-specific emails to the appropriate event manager based upon the subject line of the confirmation email. This simply is neither satisfactory nor sustainable over the course of many events per year and rotating leadership each year.
You made some headway in the last update to break up event/membership/other emails into separate recipients, but it really needs one more layer of differentiation.
I really hope this update makes it into the earliest possible release in 2010!

We now have the ability to set up System Email Routing in Wild Apricot. This means that you can send emails pertaining to membership to one admin or volunteer, event ones to another set of people etc. As Dmitry said, this will be for all event emails, not for individual events.

We are most definetly still going to expand this functionality so that you can set recipients for event related emails on an event-by-event basis.
Development for the current version (3.4) is already set and started, but we are aiming for 6 updates next year (2010) and so hopefully there will be one that can accommodate it.

This is a good start, but I would like to know when we might see the ability to customize the email by specific event to a specific event manager. I don't want to discourage our volunteers, (who are just getting used to working with this system) by inundating them with all the other event confirmations, so have ended up reverting back to them all going to me, and forwarding.
