Preparing and printing event participant badges
Current behavior:
To print event participant badges, attendee list has to be exported into Excel and something like Microsoft Word mail merge used. This provides a lot of flexibility but obviously is less convenient than a built-in badge generator
Desired behavior:
Built-in functionality to define badge layouts and to print out badges in common label sizes right from the system
Notes:
We would appreciate feedback about desired label formats (sizes) and customization needs for badge layouts/design

It would be a great help if you could print membership cards or badges for event instead of using mail merge.

It would be great to have the ability during event check-in to immediately print the attendee's event badge.
I have been to events where there is a self-service kiosk where the attendee checks themselves in and, when complete, the badges immediately prints. -

For event participant badges we use Avery 5392 forms. However, we don't view the current method of printing via Excel export as a major deficiency

This would be a spectacular feature for some of our events we look for the following items on a badge:
-Our Logo
-Event Name
-Participant Name
-Participant info such as title
-Participant company or city
-Bar code with ID number for scanning in and out of sessionsAdditionally ... with a deep breath and realization that this is a note for another day and another line of thought ... I can see value in some form of live linked database that would be able to work outside the system. Some participant bar code scanning systems we have worked with have allowed live data connections with excels or google sheets such that new registrations and ID numbers are available for badge printing and ID scanning in near real time.

I agree that this would be a nice feature to have and simpler than doing an excel mail merge.
Perhaps some check boxes so that we could decided on which fields to export to the badge.
A selection of Avery type forms would be the icing on the cake. -

I'd just like to add why badges are so important for events.
One of your expert webinars featured a guy who said: "treat your event delegates as individuals"
Badges are essential to do that. The badge links the person to the registration system. We use standard size badges in plastic badge holders with coloured lanyards. If someone comes up to me at an event with a quick glance at their badge I can see:
- their name
- where they are from
- what workshops they are booked for
- their level of training
- icons which indicate if they ordered a special dietAll of this is printed directly from the registration system regonline.com the day before with three clicks. The badges are assembled and spread out on the registration table.
If Wild Apricot could do this then I would not have to be paying for Regonline which would be a big saving.

Please see the functionality in www.regonline.com which is excellent for running events but not membership
1. select badge and paper size
2. upload background image
3. add merge fields and text fields
4. either select saved search, select badge, run and print
Or select badge, input data for merge fields manually, print or send as pdf
Gwyneth
PS this is so important I'm posting it everywhere relevent in the hope it gets noticed

No progress on this yet. About check-in - you mean for event attendance? The best thread for comments on that is http://forums.wildapricot.com/forums/308920-archive/suggestions/8831254-tracking-on-site-registrations-and-actual-attendan

Any progress on this item? We are looking for a way to generate a check-in list (we currently use excel but it involves moving/deleting columns) as well as automatically format name badges. It would be nice to customize an excel export of attendees, so we just have to print, and not do a bunch of gyrations in excel to get the format we're looking for.
we are looking for a report that has colums:
Company Name | First Name | Last Name | Guests | Payment Amt etc...

I would love the ability to print name badges directly from WA. This feature would save me hours of work each week, or at least it would save my interns hours of work each week. :-)
Thank you,
Justin

I'd like to also add to this badge issue that this would be a very important and useful feature. We also would use the avery label size already quoted by others and the fields we'd like to see would be just name and company name.
I'd recommend if you set this up that you allow us to also insert a logo or image in the badge printing template along with the ability to define what fields will print on the badge from the fields offered in the database and where on the badge the logo/image and field can be inserted. Flexibility is important with this area.

It would be good to have mailing labels.--any of the smaller sizes--we can adjust
Or be able to choose what data is exported rather than needing to export all the data and delete it.

We have made this one of our Top 50 features for 2010. We hope to start development within the next 12 months.
As you can imagine, this is a complex issue, especially since we want it to be simple to use and also functional on as many computer platforms as possible. We'll let you know the results of our analysis and its release date as soon as we can.
As always, keep the ideas, uses, and suggestions coming.
