1. ELAVON

   When we started with WA almost a year ago, we made it clear that it was important to us to be able to process C/C transactions and that our payment processor was Elavon. We were told that Elavon support was expected to be included in your next release, and this was a major factor in our decision to adopt WA.

   As we now know, your solution was based on the use of CRE Secure as an intermediary. Unfortunately, at our relatively low transaction volumes, this solution would nearly double our C/C processing costs, which is not feasible.

   On the basis of what we thought was reliable information from you, we went ahead and adopted WA and are faced now with a commitment to provide online payments. It is our understanding that Elavon is the payment process of choice of a very large number of Canadian non-profits who must either be facing the same difficulty or have not adopted WA because of the lack of a practical interface to Elavon.

   We urge you to provide, as soon as possible, either an appropriate technical solution, or a financial arrangement that makes practical the use of CRE Secure .

   Adding a new gateway doesn’t align with our current focus for the product. Supporting each payment systems takes time and resources away from our development and support teams to provide the better, more reliable service.

2. Automatically post "Date Last Paid" for annual memberships

   Our memberships are annual. We have to send badge stickers via regular mail to people who renew their memberships. If we export financial information when they pay their invoices, there is no mailing address associated with the export.

   I had to add another field to the Contact field list that has to be manually updated when a member pays their annual dues. Then, I run an export that contains their address information which goes into an MS Word mail merge doc.

   It'd be nice to skip the manual step of updating a member's record with the "Date Last Paid" info.

3. Ability to send an e-mail to members when their status changes

   Would like the ability (a button, for instance, like on the invoice page) to send an e-mail to a member when his/her status changes, as from active to suspended, to explain the reason for the change, and to provide the member with next steps. The reason and steps would be provided by the person changing the status, of course, not WA.

   when someone changes status, they then can click on Email button in the profile to send email with explanations.

4. Avoiding members getting the wrong registration price

   (Documenting thoughts based on email dialog with a client)

   Wild Apricot allows you to create event registrations with different prices for members and non-members. Member eligibility is checked in one of two ways:

   1) if a member is logged in, then we know who he/she is and can check membership level and status

   2) otherwise we check the email the enter on the first step, look up the record in your contact database etc.

   The problem with #2 is that a person might use a different email by mistake - and then WA wouldn't know about membership and not allow member pricing to be selected. Members might notice this afterwards, contact administrator to complain, this requires manual work to fix etc.

   Possible ways to address:

   • have a way to register additional emails on every member record to check against (Though I doubt this will help much - I suspect most people would never bother to register those additional emails

   • Have the system also check the name entered and if the exact match for first and last name exists, provide a warning like "We have a record in our database with the same name - however the email on file does not match the one you used and thus you are not eligible for member-pricing. Would you like to login or use another email?"

   This wouldn't catch all the problems (e.g. people might use different spellings) but it might help somewhat.

   So at this stage we are looking for:

   • other ideas how to prevent this

   • comments on how common this is and how useful it would be for you.

5. Ability to add link to the membership application and renewal workflow screens

   Improved customizability of system screens. We use a third party payment processor and need to be able to link to their site from the screen a new or renewing member sees after creating or updating their profile.

   We currently send them an invoice with a link to the payment processor site. Of course the new/renewing members don't read the invoice so they don't click the link. Instead, they e-mail or call us.

   In the abscence of a "shopping cart" I need to be able to get at the membership application submitted/updated screen to place a link to our separate site payment processor that's only visible to folks who've completed the application or profile update process.

7. Automatically adjust join date to 1st of month

   I would like the option to have join dates automatically set to the 1st of the month; the simplest is the 1st of the current month; more fancy option is 1st of current month if joined in the first half of the month, else 1st of next month.

   Would also like for same logic to apply on renewals.

8. Derived fields in contact DB

   In Excel I can have a Date of Birth field, say D2. Then I can have E2 which is the derived year from D2 and F2 which is the derived month from D2 and so on. I can also have H2 which is the year of the current date minus E2. - that is the contacts age in years.

   Whenever D2 gets updated, the other fields update automatically.

   Should also have the ability to refresh the DB to update fields like H2 on an as required basis as these would obviously be changing from time to time

9. Flexibility in Displaying Members throughout certain pages

   One of our big features that we enjoy currently (we're test driving Wild Apricot) is the ability to display (or call) certain fields (like name & Class Year) of our member list onto other pages dynamically. For example we can show the 'latest or updated members' based on their latest posting. We can further sort the data to show in groups, and very important for us - the ability to display names of alumni who have passed away. Our site has members from graduating classes back to the late 1950's to the present. Also noting by their name as they become a 'supporter' of the site.

   That would be a great feature to have here.

10. Automated Profile Picture Extraction

    It would be great to have an automated way of exporting all pictures, with file names identifying them ( by Member ID), into a single directory.

    This is to use these pictures for ID cards.

    At present each picture needs to be right-clicked, save-imaged, and given a file name

    As of now, all members from a level with recurring payment enabled are on auto renew. No special search is required.

12. Member List Searches Missing Administration Search Criterion

    Currently the only administration criterion you can search for in the Advanced search area of the member list is "Administration access" is granted or denied.

    It would be far more useful to allow selection criterion that correctly mirrors the actual administrator settings in the database, those being:
    * Account administrator (Full access)
    * Account administrator (Read-only access)
    * Membership manager
    * Event manager
    * Donations manager
    * Website editor - All pages
    * Website editor - Selected pages

13. Add integration with ClickBank payment processor

    Is there a way to use the registration/database capabilities with WA, but then have a payment button link to another payment processor. I'm looking to use ClickBank for my payment processor because it allows for recurring payments and affiliate management.

14. Ability to integrate with Paypals' Sandbox site

    To do complete end to end testing of Paypal integration it would be very helpful if an option under "Payment Settings" was available to indicate whether to use production paypal (paypal.com) or test paypal (sandbox.paypal.com). This option would require that two sets of API credentials be kept - one for paypal.com and one for sandbox.paypal.com.

    One large benefit of using sandbox.paypal.com is that NO money is actually involved in the testing transactions. The paypal sandbox is setup exactly like the production paypal site except for the use of test accounts that automatically generate credit card numbers, expiration dates, bank accounts with routing numbers, etc. The dollar values that have been placed in your wild apricot hosted website do not need to be changed. All that changes is where to point the system for transaction processing.

15. Manual payments of membership - confusing users.

    Since one of the recent updates the payment system was changed which has caused me a lot of problems. Many of my members are not pressing the "review and pay" button. They are printing out the page with that button on it and then they are never actually creating the invoice. If their payment makes it through the mail with the paper copy that is not a big deal, but if I never get their membership payment I have no way of knowing that they started a renewal.

    If there is a way to modify the UI to have a "confirm and print invoice" for manual payment and a "confirm and pay on line" online payments I think that would be much clearer.

    This problem started out with one or two people, but is steadily increasing in frequency.

    This is not relevant anymore, system works differently and buttons are called differently. I do not say that now it’s all clear and fine, but this particular suggestion is outdated. Closing.

17. DirectConnect Gateway

    We are running 10 WA sites and would like to use DirectConnect Gateway for our merchant processing. We can't switch to this gateway until it is enabled on your site.

    Have you thought of a fee-based service for integration of alternate gateways. We would pay a nice fee so we don't have to change processors and gateways just to use wild apricot.

    I need to have a way to have a check mark button that can summarize and reflect all of the other check mark options. For example:

    • District 1
    • City 1
    • City 2
    • City 3

    I need a check mark for District 1 to, when clicked, will automatically check city 1, city 2, city 3.

20. Limit number of members in a level

    We would like to suggest a feature that allows for membership to be automatically stopped at a certain number during membership renewals. For example, we can "cap" it at 25 of a certain type and it will stop accepting renewals or new members when that many have signed up.
