We have started analysis for this issue, and it seems that key problem is how Wild Apricot handles level changes close to renewal date. The system is currently designed to collect the full new level amount and set renewal date according to new level renewal policy. All prepaid amounts for old levels are disposed. Moreover, since no prorating occurs, the new level might be effective only for a few days.
As a first step, we suggest to redesign how level change is working and add prorating there:
- Level would be changed immediately, as now - Remaining portion of old membership level payment will be applied to new level - For new levels with specific renewal date (e.g. annual levels with renewals Jan 1st) apply the pro-rating settings for new applications: - Allow member to pay only a pro-rated amount of the new level fee (e.g. six months before renewal…An error occurred while saving the comment LarryJW commented
I can see this problem has been described in 2010 and has not been resolved. It needs to be. As an organization using WA for the first time and now going through its first renewal cycle, this problem has become transparently obvious.
On renewal some some members want to change their membership level -- in particular, changing from an Annual membership to a 6-year membership (with a discount). As typical, we encourage members to renew before their expiry date, but in doing so, the new expiry date is NOT calculated from the current expiry date (by simply adding 6 to it). A renewal without a membership level change is handled correctly but the fails when a membership level change is involved.

Allow bundle administrators to add bundle members to guest list for events without requiring the bundle administrator to have also be a registrant to the event.
We use bundles for husband/wife (household) memberships. Most often, the bundle member does not have an email address. We want the bundle administrator to act on behalf of the bundle member, without the bundle administrator having to participate in the events.

We are a membership organization for retirees. When we get notice of new retirees from Human Resources, we want to give these new retirees a limited non-renewable free membership for 6 months, after which this free membership lapses and membership can be renewed only as one of the paying membership levels.
Prior to moving to WA, this feature was performed manually, as was everything else. A free membership function is very important to our organization.
