Invoice settings that affect other aspects of membership
Along with the plethora of suggestions I have for this database, one that I haven't seen mentioned is adding an "after payment is completed" functionality to certain invoices. Example, after invoice is settled and payment is received, set the renewal date to 00/00/00, or after payment is received their level becomes XYZ. This would help with manual invoices that need to be created for yearly renewal, as Wild Apricot doesn't recognize them as renewal invoices. Also, it would create a workaround for those that need to have graduating levels. Ex: Our database has dues based on how many years you've…
3 votesAva, we won't make any automations after invoice is marked paid. 3 main reasons:
- For membership renewals there are ways to setup dues for really complex setups using extra charge fields. Not all of scenarios would work for self-service, but everything is possible manually. This case you would have up-to-date member database and all automations in place.
- Even if we would go with some post-invoice actions - it would be also shouting in the wind. Very few accounts will need it, and to make it usable - we would need to think of huge amount possible scenarios
- If you want to still use some automations, I would advise going on with Make/Zapier. These are perfect for such tailored scenarios and we have all integrations in place for Finances and Members functionality.

Even if someone is archived and has an open balance, when doing an invoice search under finances, the invoice should show up.

Administrator payment streamline
Shamir was wonderful but tells me that you have not prioritized allowing Administrators to add multiple items to an invoice and pay with one transaction. PLEASE push up that feature in the development queue!!!

Record payment as an entity then apply to invoice settling
Our normal workflow is to record a member's payment then apply to invoices until consumed. Many members pay by mail-in check and we expect this to continue. as many members do not use online shopping.
By recording payment receipt at the invoice level, we loose the cash/check receipt tracking.

Billing/Accounting for Members?
What's the best way for automating billing (and hopefully accounting) for all your registered members? The stuff here doesn't do everything, do you guys export into a different program?

Don't Display Incorrect Payment Instructions on Profile Page (Bug Fix)
When there are outstanding invoices, the profile page displays the General payment instructions (from Settings / Finance / Payment settings).
But some invoices may have different payment instructions, specified either in the event or membership instructions in that setting, or in the specific event.
Nevertheless the profile page displays the General payment instructions, which may be incorrect. So the member can send a payment to the wrong place.
I recommend that If any of the outstanding invoice(s) have custom or different payment instructions, do not display the General payment instructions. Instead, say "Click invoice for payment instructions."

Total sales on financial
Add total sales and pending sales on financial transactions.
Currently there is no total calculated and we need to do it manually.
Also, have a feature where we can submit a proposal and have selected users vote on a proposal and to select which group can submit a vote. This could be used for membership committee nominations or vote on an idea.

Post date option on invoicing macro.
Ability to create invoices using macro function. For example create and email invoices on May 15, but have invoices dated June 1st for purposes of importing into QB.

Overpayment
I need to be able to run a report that reflects overpayments. Many of our members have difficulty joining or renewing their membership and try multiple times. This creates multiple invoices and results in overpayments. Is there a way to generate this report? If now, can you consider adding that feature at the next update. We can run open invoices easily.

Manual Invoice Dates assigned by Date Range
The system should be able to assign a Manual Invoice an Invoice Date of my choosing. The configuration would be:
Begin End Invoice Date
25-Dec 25-Jan 25-Jan + current year
26-Jan 24-Feb 24-Feb + current year
25-Feb 26-Mar 26-Mar + current year
27-Mar 29-Apr 29-Apr + current yearAs an example if I am creating a manual invoice on 1/15 they system would the use Jan 25th as the invoice date on the manual invoice.

Need more detail on transactions
For PayPal payments, I would like to be able to capture more detail for individual transactions. For example, for event registration, we will sometimes have the ability to donate to the organization. When Wild Apricot reports the transaction to PayPal, I cannot get the breakdown of the conference registration and donation amounts--only the lump sum. Can you make it possible for me to capture this information on PayPal?
