We have started analysis for this issue, and it seems that key problem is how Wild Apricot handles level changes close to renewal date. The system is currently designed to collect the full new level amount and set renewal date according to new level renewal policy. All prepaid amounts for old levels are disposed. Moreover, since no prorating occurs, the new level might be effective only for a few days.

As a first step, we suggest to redesign how level change is working and add prorating there:

    - Level would be changed immediately, as now - Remaining portion of old membership level payment will be applied to new level - For new levels with specific renewal date (e.g. annual levels with renewals Jan 1st) apply the pro-rating settings for new applications: - Allow member to pay only a pro-rated amount of the new level fee (e.g. six months before renewal…

Yikes! I requested this be addressed back in 2014. 7 years! wow!

The proposed change won't help us at all. The original issue I reported in 2014 was, if a member changes their level when renewing, the system still treats them as having not renewed. I suggest...

    1. An Admin setting where I specify X number of days.
    2. If a member changes their level within X number of days of the Renewal date and processes the renewal at the same time based on the new level, the level change only applies from the renewal date.

fix the issue where is someone changes membership level after receiving the reminder, but before the renewal date, the system doesn't renew them.

This is also a huge problem for us. I see this has been dragging on for years with no action.

This leads me to assume that there are no plans to fix this flaw anytime soon (or ever)!

I understand that all systems have issues of one type or another. But it's not good to see that it's been a know issue for 4 years and customers are being told in 2012 "this is a frequent request and something our product design team plans to work on this year." IN 2012!

Come on guys. Either fix it or be honest and say it's something that we just have to live with.

This is also a problem for us. Members change their Level at Renewal time yet the system doesn't record them as having renewed.

I see this has been an oustanding flaw in the system for 2 1/2 years!

Do I assume then that there are no plans to fix this anytime soon (if at all)?

I also agree with both Alex & Xock.

We need a facility whereby members (and others) can fill in the amount and comment (as they currently do) but then have the system generate an Invoice (just like memberships) and give them the option to pay by Cheque or Internet banking.

Currently the only option of online (PayPal) will deter some to donate.

For now, this is not something we’re going to change – not sure if ever.
Workaround to use: create a special “entry” free level to apply to, and close “normal” ones for application. For the entry level, create also a dropdown field where a potential member can choose a level they want to apply to. Add other fields you need to assess the application. When application is successful, your admin is to change membership level to required one and generate membership invoice (membership upgrade invoice). The member will be emailed with the invoice and can pay.

We are evaluating WA. The lack of a 2-phased membership workflow has caused objections from other committee members. We too have to approve applications before acceptance and payment.

please advise when this will be incorporated.
